Accounts Payable Specialist – Job Description
Position Summary
We are seeking a detail‑oriented and proactive Accounts Payable Specialist to join our finance team. This role is responsible for processing vendor invoices, ensuring accurate and timely payments, and maintaining strong relationships with suppliers. The ideal candidate will have hands‑on experience with 3‑way matching (PO, packing slip, invoice) and grower accounting, including handling grower statements, settlements, and crop‑related cost tracking.
Key Responsibilities
Process high‑volume accounts payable invoices with accuracy and efficiency.
Perform 3‑way matching to verify purchase orders, receiving documents, and vendor invoices.
Manage grower accounting, including:
Reviewing and reconciling grower statements
Tracking grower payments, advances, and deductions
Ensuring compliance with grower contracts and crop settlement terms
Reconcile vendor accounts and resolve discrepancies in a timely manner.
Prepare weekly and monthly AP reports, aging summaries, and payment runs.
Maintain organized and audit‑ready financial records.
Communicate with internal departments (procurement, receiving, production, grower relations) to resolve invoice or PO issues.
Support month‑end closing activities, including accruals and account reconciliations.
Assist with process improvements to enhance AP workflow efficiency.
Qualifications
2–4 years of Accounts Payable experience, preferably in agriculture, food production, or manufacturing.
Required: Strong experience with 3‑way matching.
Required: Experience with grower accounting and understanding of crop‑related financial processes.
Proficiency with Famous.
Strong Excel skills (VLOOKUP, pivot tables preferred).
Excellent attention to detail, accuracy, and organizational skills.
Ability to work independently and meet deadlines in a fast‑paced environment.
Strong communication and problem‑solving abilities.
